Facility Rentals - Community Use of Schools
Community Use of Schools is an initiative that supports access to school space outside of school hours for not-for-profit community groups.
How to Book a School Board Facility
To book a Waterloo Region Catholic District School Board Facility, you must provide the following information:
- A completed permit application form for each facility required. Click here for Permit Application
- A non-refundable administration fee must be attached with each application
- A copy of the certificate of insurance in the amount of $2 million for Liability Insurance naming the Waterloo Catholic District School Board as an additional insured. Groups that do not carry liability insurance can purchase liability insurance through the WCDSB Blanket Insurance based on the User Group Policy and Rating Schedule provided by OSBIE. The cost of the liability insurance will be added to the Rental Contract/Invoice.
Permit Application
Your application should include:
- The name of the school, dates and times requested
- Type of space required – single gym, double gym, library
- Type of program being hosted – basketball, brownies,
- Number of participants – specify number of youths and/or adults
- Name of the group wishing to use the facility
- Group category (see below)
- The names and telephone numbers of two adults (minimum 18 years of age) who will be responsible for supervising the activity (one of whom must be on site for the duration of the permit)
- Insurance information
Once the request is processed, the Rental Department will contact the user group. Completed permits can be picked up between 7:30 am and 3:00 pm from the Rentals Office at the Facility Services Department, 480 Dutton Drive, Waterloo.
Cancellations due to Inclement Weather:
- If a group is canceling due to inclement weather please call the Rental Department before 3:30 pm Monday to Friday or the After Hours Answering Service – 519-749-3869.
- If the school board is canceling due to inclement weather please listen to the area radio stations, call the Rental Department or check the cancellation button on the WCDSB website home page – www.wcdsb.ca
Payment
Payment can be made by cash or cheque. All rental payments are due upon receipt of permit. Continuous long-term groups may pay monthly, in advance with post-dated cheques. Non-payment will result in cancellation of your existing permit(s) and no further bookings will be processed for your group/organization until the account is settled in full.
Group Categories
(As determined by the Waterloo Catholic District School Board)
Youth
- Corporations incorporated for the purpose of carrying on, without financial gain, objects of a patriotic, charitable, philanthropic, professional, sporting or athletic character
- Youth Related Community Groups – run by local youth groups such as Boy Scouts, Girls Guides, 4H Clubs and Cadets etc. The activities are intended for participants under the age of 18 (or where the participants have a disability and are under the age of 28).
- Recognized Children’s Sport and Recreation Service Providers – as defined by the Ministry of Tourism and Recreation’s Recognition Criteria for Children’s Recreation Services
- Recreational camps accredited by the Ontario Camping Association
- Sports organizations that are members or affiliates of provincial sports organizations that are recognized by the Ministry
Not For Profit Youth Programs qualify for reduced rates under the Community Use of Schools Program.
Adult (Recreational & Other)
- Not for profit groups providing community services free of charge and staffed strictly on a volunteer basis
- Adult recreational use
- Birthday parties/anniversaries
- Christmas parties
Other
- Private registered non-profit groups; organizations or approved groups charging admission, collecting donations and/or operated by persons receiving compensation for their services including honorariums
- Businesses including those charging for drama, art, music, dance fitness
- Non-catholic services and other church activities
- Concerts, recitals
- Events with ticket sales
- Condominium meetings
- Commercial organizations
Groups not listed in the above categories
will be at the discretion of the
Rental Facilities Department.
