CLERICAL AND TECHNICAL POSITIONS – ACCOUNTING CLERK

 

General Description of Duties

  • Responsible for accurate payment of incoming invoices for the purchase of all supplies, services, utilities, repairs, maintenance agreements, lease agreements, rentals, memberships and subscriptions purchased by the Board;
  • Verify accuracy, completeness and appropriate documentation related to supplier invoices and payment requisitions;
  • Expedite purchase orders, recommend closure of order when appropriate, co-ordinate returns and credits;
  • Prepare and process for payment all batches of accounts payable, produce computer batch listings, balance and reconcile data input;
  • Respond to inquiries from vendors, schools/departments and staff respecting status of payments and accounts, research and analyze records as necessary to resolve matters in question;
  • Act as resource to schools/departments regarding inquiries on account balances, outstanding purchase orders and amounts of charges on invoices;
  • Reconcile monthly Bank statement to General Ledger, summarize difference and prepare and post adjusting entries;
  • Prepare and post a variety of Journal Entries (manual and electronic);
  • Develop and deliver training modules to Board staff as needed;
  • Ability to work in a client centred environment, actively contributing to its accomplishments and objectives;
  • Other duties as assigned.

Qualifications

  • Graduate from a Community College in a related field or equivalent combination of experience and training;
  • A minimum of two (2) years purchasing or accounts payable experience;
  • Demonstrated knowledge and ability in Word and Excel at basic level with the understanding that these skills will improve beyond the basic level;
  • Demonstrated knowledge and ability in Outlook and the Internet;
  • Working knowledge of an accounting data base such as BAS or equivalent;
  • Demonstrated sound decision making skills involving the use of considerable ingenuity, initiative, judgment and resourcefulness with the ability to plan work from general procedures;
  • Strong communication and analytical ability with excellent interpersonal and problem solving skills;
  • Self motivated team member with excellent time management skills.
